Document Templates - Overview

Modified on Fri, 23 Oct at 1:39 AM

With document templates, you can create and manage branded templates for key project documents, including estimates, invoices, purchase orders, and work orders. Every document you generate then has the same professional look and your company's branding.

  • Portfolio-wide standardization - Apply the same templates across all your projects.
  • Single active template per type - Only one template can be active for each document type at a time.

Linarc provides a library of prebuilt system templates for each document type, with one system template set as active by default. In addition, you can design your own custom templates, either from scratch or by cloning and modifying an existing system template.

  • Once a custom template is activated, it automatically overrides the system default for all on-demand and system-generated documents.
  • If no custom template is active, the system template remains in use by default. See When PDFs Are Generated for more details.

Templates can be personalized with headers, footers, margins, logos, a table of contents, a cover page, and the body section. You can add dynamic variables, such as the project name or invoice number, which are filled in automatically with project data when the document is generated.

When PDFs Are Generated

All PDFs in your workspace use your company's active template for that document type. A PDF is created in two ways:

  • On demand - You generate and download a PDF at any stage of a document, for example to email it to the general contractor (GC).
  • Automatically - When you mark a document as closed, Linarc creates a final PDF and saves it with the project records.

Example: A fabricator, such as Strong Steel, prepares an invoice for a general contractor, such as Burns Construction Company. Strong Steel generates a PDF of the invoice and emails it to the GC. When Burns Construction Company confirms payment by email, Strong Steel marks the invoice as paid and then closed in Linarc, and Linarc saves the final PDF to the project records. Both PDFs use Strong Steel's active invoice template.

Tip: Set up and activate your templates before you start sending documents, so every PDF your customers receive carries your branding from the first one.
